Useful Tips on running Elite Reports

Tip 1 � The "i" (Information) button

The �provides handy information about each report, on how it runs and what data it pulls through.

1. �Select the report from the Browser tree.

2. �Click on the �next to the report heading to display the information.

Tip 2 � What is the�Date Range�bringing back?

Understanding what the Date Range is telling Recordbase to bring back, is key to bringing back both the required and meaningful data.

  • What the date range tells Recordbase to bring back is not the same for all reports - check out the��before running a report.

For example, two different reports are run with the same date range:

Question - Will each report bring back a client that was accepted on 10.12.2016 and discharged on 15.01.2017?

Report A tells Recordbase � bring back all clients with an accepted referral status at some point during the data range (aka reporting period).

Answer - Yes Report A will- although they were accepted prior to the date range and discharged during the date range, they still had an accepted referral status sometime during the date range.

Report B tells Recordbase � bring back all clients that were accepted into service within the date range.

Answer - No Report B will not � as the client was not accepted into service within the date range, they were accepted prior to the date range.

Tip 3 � Why are there duplicate lines?

Some reports can appear to have duplicate lines � this depends on the columns selected for the report.� As the data is raw, if a field has multiple data to display, then an extra line will need to appear for each bit of data.

  • When running elite reports it is important to think about:
    • What information you are needing to find out?
    • What report is going to give you the best results?
    • What columns are on the report or what columns you are adding � are they going to cause duplication of the information you are looking for?

For example:� If you ran the Activity by Attendee report and looked at how many activities a client attended - it may appear that an activity a client has attended has duplicated.� However, on a closer look, you may find there are multiple data for one of the other fields. e.g there may have been two caseworkers attending, therefore there is a line to show each caseworker.� Or there may be more than one activity breakdown recorded on the activity, therefore there is a line to show each breakdown.
