Tips for creating KPIs

Start off by having a good think�

Starter for 10: what exactly is your KPI? Clever business folks generally dictate that KPIs should follow SMART criteria, so they should be:

  • Specific
  • Measurable
  • Achievable (or Actionable)
  • Relevant
  • Time-bound

Once you've defined your organisation's specific KPIs, you'll still need to think through the most effective and user-friendly way to implement these KPIs in Recordbase. We suggest you also think about Recordbase-focused questions like these:

What is the purpose of this KPI?

  • Highlight data entry errors for correction?
  • Highlight service delivery achievements?
  • Highlight clients, who need attention/action?

Who is the audience for this KPI?

  • Support workers?
  • Team leaders?
  • Members of a specific team (or set of teams)?

What action do you want your audience to take, based on this KPI?

This is probably something quite specific � but if you can pinpoint the action you hope to encourage, you can better target your summary and drill-through to provide the information necessary to prompt that action. Some examples are:

  • Correct or cleanse inaccurate data
  • Schedule activities with clients they haven't seen in a while
  • Ensure they develop goal plans for clients who don't have one
  • Review why certain clients have been pending or waitlisted for so long
  • Inspect all newly-recorded, high-risk health and safety incidents
