Overview
Recordbase's Calendar functionality allows you to track client activities. These activities can be viewed using Recordbase's Calendar or your existing business calendaring or scheduling tools, for example Microsoft Outlook (this is turned off by default).
Any activities, where you are set up as a user associated with the activity for a client, will be displayed in your Calendar tab. If you have been set up as a team leader or manager, then you will be able to view the calendars of your direct reports (however this needs to be set up in Recordbase's security).
The Calendar tab consists of a tree view on the left and a view pane on the right. The tree view allows you to browse by Activities or Tasks for those clients where you are assigned as their support worker. However, if you are setup with a reporting line in Recordbase, then you will be able to see all Activities and Tasks for your direct reports.
Activities
Activity List View
The list view allows users to filter by All activities, Upcoming activities or Past Activities.

All activities
The All activities filter displays client activities in reverse chronological (descending date) order with the newest activities at the top of the list. This includes upcoming activities and past activities.

Upcoming activities
The Upcoming activity filter displays activities in chronological (ascending date) order from the newest date to the oldest date.

Past activities
The Past activities filter displays activities in reverse chronological (descending date) order with the newest activities at the top of the list for any activities from yesterday (does not include activities for today or in the future).

Information about activities
You can get a quick view of the information contained within an activity by clicking on the �i� icon to the right of an activity. This lets the users see the contents of the activity without the need to open each activity.

Activity Calendar View
The calendar view is a view like what you might see in MS Outlook i.e. a grid view of activities whereby you can view by day, week or month, navigate forward and back or pick a date to view.

Changing the number of days viewed
There are three different views available for activities. Simply click the month, week or day buttons located at the top right of the calendar to change the respective view. To change the dates viewed, use the left and right arrows (situated to the left of the Today button) to scroll through the calendar on a month by month basis. Alternatively, click the calendar button located to the right of the date field to display the calendar.

Direct reports
Where you have been set up to have direct reports then you will be able to view the calendars for these people. Click Activities in the tree view on the left and under Direct reports place a tick in front of the name of the person whose activities you wish to view; un-tick to hide their activities.
Your direct report activities will be displayed in different colours as you select them. Additionally, you can hover your mouse over the activity to see more activity information. Double-clicking the activity will open the client�s activity.

Tasks (next seven days)
Tasks are items that have a due date assigned to them. Tasks will appear until you change the status on them to either Done, Not Required or Not Done in Client screen > Tasks. More on this in the Tasks section further on in the user guide. Some items in this list will be reminders for other events coming up such as Legal Status review dates, goal due dates and consent review dates.

My tasks
If you have been set up as a support worker, you will see all tasks due in the next seven days for those clients that have been assigned to you as their support worker.

Direct reports
Users with staff who report to them can see their tasks. Simply click Tasks in the tree view on the left and under Direct reports place a tick in front of the name of the person whose tasks you wish to view; un-tick to hide their tasks.
