Mandatory activity information

When you create a new activity, certain information is mandatory and must be entered in order to save the activity.

Subject

Provide a brief description of the activity.

Notes

This is where you can record what has occurred during the activity and any pertinent information that you think should be included.

When the activity took place

Start time, Duration and End time

Specify the time and date of the activity. The start and end times must match up with a referral into the selected team. For example, you cannot create an activity for a time when any client involved in the activity, did not have an open referral for or was recently discharged from, the team. The time can be entered in various formats, e.g. 9 am, 9:00 am, 17:00 or 10.30.

You can specify a Start time and End time or a Duration. If you enter a Duration the End time will be calculated for you. If you enter an End time the Duration will be calculated. The Duration is shown in minutes.

Facilitators

Recordbase automatically adds the user as a facilitator but also allows you to add additional facilitators

On behalf of

This is set by default to "Myself�; this option allows you to schedule activities on behalf of other users. Once saved the activity will appear in the calendar of the caseworker you are creating the activity on behalf of.

What sort of activity?

Type

The options in these lists will vary as they are determined by the team selected. The associated drop-down list is linked to PRIMHD activity settings which are used in PRIMHD reporting however for organisations that do not need to report to PRIMHD these are determined by your organisation.

What did you do with your time (Breakdown)?

The breakdown is to confirm what you did with your time during the activity. The breakdowns are set up in consultation with your organisation to ensure they are capturing the information you require. Use the +, - and arrow buttons to add time as necessary.

When you have allocated all the time required to the breakdown, the progress bar will turn green.

The activity is related to

Activities can be related to goals, employment plans, personal plans and protocols. Any current goals etc associated to an active referral or employment plans a client has will be listed in the drop-down list. A related goal or employment plan cannot be added if there are multiple clients involved in the activity.
