Tasks

Overview

A task is an item created for a client that you can track until the task has been completed. A task is assigned a due date by which the task needs to be completed. Certain tasks will be automatically generated when specific events are triggered in Recordbase, depending on how your organisation is set up. The tasks are listed in due date order and are paged. Tasks automatically created by Recordbase cannot be edited. Manually entered tasks can be edited.

Task status icons are shown on the left-hand side of the Tasks screen. Overdue tasks have a red "!" icon beside them, while future-dated tasks have a small yellow calendar page icon. Quick summary balloons are available on the right-hand side of the task screen. Click the grey "i" for a summary view of the task.

A caseworker can also create their own clients tasks by clicking New on the Tasks screen.

The following is a list of task types you will see in the Tasks screen list. The task source will be indicated under the task Description.

Referral Tasks

Whenever a new referral is created or changes status.

Absence Task

When an absence is created for a client.

Hospitalisation Tasks

When a Hospitalisation referral is created for a client.

Supported Employment Task

These tasks specifically relate to supported employment plan phases.

Tasks can be optional or mandatory depending on criteria selected by the organisation in the tasks template.

Overdue tasks

These tasks are automatically displayed with a red exclamation mark icon in the support worker and clients dashboard. The case worker Dashboard lists all overdue tasks for those clients that are currently assigned to you.

The client Dashboard displays any overdue tasks relevant to that client.

If the task is not completed by the due date, then the task becomes overdue and is displayed as such on the Tasks screen. To indicate the task is overdue, a red exclamation mark will be shown in front of the task. In order to complete a task you will need to ensure it has a completed date.
