Snapshot Report & Description

The Snapshot report has been designed for organisations running supported employment services. It is accessible under the caseworker view. This report provides a graphical view using pie charts and tables for selectable pre-set day ranges. The report contains many key performance measures regarding caseloads, referrals, organisational effectiveness, productivity and other IPS related indicators. The report is displayed as a PDF file and can be saved or printed.

Important information: This report shows the results from the previous day's activities. Any changes made to the client's Employment plans will not be reflected in this report until the following day.

Notes for all sections
The reporting period is inclusive. So for example the period 1 July 2021 to 31 July 2021 includes all data from midnight on 1st of July 2021 to 11:59:59 pm on 31st of July 2021.


Summary - Key Measures
This block show summary statistics for all employment plans associated with the employment consultant (is primary caseworker).
                                                                          Caseload
New clients The number of people who started with the consultant during the report period
Clients removed from caseload  The number of people who ended with the consultant during the report period. This excludes those where the consultant was removed using the Remove button.
Caseload at start of period The number of people the consultant was working with at the start of the period. 
Caseload at end of period The number of people the consultant was working with at the end of the period. 
                                                               Employment plans
New plans started during period  The number of employment plans which started in the report period. Excludes support plans. 
Plans closed during period   The number of employment plans which closed in the report period. Excludes support plans. 
Plans closed without outcome job  The number of employment plans which closed in the report period and with no outcome. Excludes support plans. 
Employment plans at start of period  The number of employment plans which were open at the start of the period. Excludes support plans. 
Employment plans at end of period  The number of employment plans which were either open at the end of the period or were open within the period but closed after the end of the period. Excludes support plans and those plans started after the end of the period. 
                                            Employment plans by phase (end of period)
Planning and prep The number of employment plans which are in the Planning and Preparation phase at the close of the day on the period end date. Excludes support plans.
Job search  The number of employment plans which are in the Job Search phase at the close of the day on the period end date. Excludes support plans. 
Placement support  The number of employment plans which are in the Placement Support phase at the close of the day on the period end date. Excludes support plans.

Jobs created  The number of outcome jobs which started during the report period. Excludes support plans.
Jobs lost  The number of outcome jobs which ended during the report. Excludes support plans.
Jobs supported at start of period  The number of active outcome jobs at start of the period for open employment plans. Excludes support plans. Active outcome jobs are those which started on or before the period start date and did not end on or before the period end date. Open employment plans are those which were not closed before the start of the period.
Jobs supported at end of period  The number of active outcome jobs at end of the period for open employment plans. Excludes support plans. Active outcome jobs are those which started on or before the period end date and did not end on or before the period end date. Open employment plans are those which were not closed before the end of the period. 
                                                                     Activity hours
Employment plan activity hours (pre-job)  The total time expressed in hours spent in activities where the consultant was an attendee and which occurred during the report period and was related to an employment plan with no outcome job or an outcome job starting after the activity ended.
Employment plan activity hours (post-job)  The total time expressed in hours spent in activities where the consultant was an attendee and which occurred during the report period and was related to an employment plan with an outcome job starting before the report period. 
Employer activity hours The total time expressed in hours spent in activities where the consultant was an attendee and which occurred during the report period and was related to an account. 
Other activity hours The total time expressed in hours spent in activities where the consultant was an attendee and which occurred during the report period and was not related to an employment plan.

This block shows summary tables (or pie charts if configured) for all employment plans associated with the employment consultant (is primary caseworker).
                                                          Activity by breakdown table 
Name The activity breakdown type.
Hours The number of hours spent in activities which occurred during the report period having the consultant as an attendee with the respective activity breakdown type. 
Percentage Percentage of the hours figure as a proportion of the total hours.

Name The industry type.
Count The number of outcome jobs in each industry type which started during the report period. Excludes support plans.
Percentage Percentage of the count figure as a proportion of the sum of counts.

Open Employment Plans
This block shows details of any open employment plans, for the report period, where the employment consultant is the primary case worker.

Current phase The phase of the employment plan at the close of the day on the period end date. Expressed as an abbreviation as per the organisations settings: PP (Planning and Prep), JS (Job Search) or PS (Placement Support).
Days in current phase The number of days from when the phase started up to the end of the report period 
Phase overtime The difference between the days in current phase and expected duration of the respective phase for the Employment Plan (configured by template and applied when plan created). Positive number if days in current phase greater than expected duration.

Activity hours during period The number of hours of activity, associated with the employment plan, undertaken across the report period.  
Pre-job employer activity  The number of hours of activity, associated with the employment plan, undertaken across the report period with an employer in attendance and there is no job or the activity occurred before job started. 
Post-job employer activity The number of hours of activity, associated with the employment plan, undertaken across the report period with an employer in attendance and there is job and the activity occurred after the job started
Total activity hours The total number of activity hours associated with the entire employment plan.
Last activity date  The date of the last activity associated with the employment plan occurring on or before the end date of the period. 
Outstanding tasks  The number of tasks outstanding for the employment plan as at the end of the period.
                                                                       Milestones
Time to job search  The number of days from the start of the employment plan to the start of job search. Empty if not in the job search phase at the close of the day on the period end date
Time to first contact with employer  The number of days from the start of the employment plan to first contact with any employer. Empty if no contact with employer has occurred. 
Time to start of job The number of days from the start of the employment plan to the start date of the job. Empty if no job achieved

Voluntary work  Yes/No. Indicates whether there are any active voluntary vocational activities associated with the employment plan, as at the end of the report period. Active means has not ended during the reporting period.
Work experience  Yes/No. Indicates whether there are any active work experience vocational activities associated with the employment plan, as at the end of the report period. Active means has not ended during the reporting period. 
Temporary work  Yes/No. Indicates whether there are any active temporary vocational activities associated with the employment plan, as at the end of the report period. Active means has not ended during the reporting period.
                                                                          Outcome
Employed Yes/No. Indicates whether a job has been associated with the employment plan.
Days employed The number of days between the start date of the job and the end of the report period or end date of the job, whichever is earlier. Empty if no job achieved.
Hours per week  The number of hours per week for the job as at the end of the report period.  Empty if no job achieved. 
Sheltered work  Yes/No. Indicates whether the job is considered to be sheltered job as at the end of the report period.
Wage subsidy Yes/No. Indicates whether the job is wage subsidised job as at the end of the report period.
Supported wage scheme Yes/No. Indicates whether the job is part of a supported wage scheme job as at the end of the report period.

 

Closed Employment Plans
This block shows details of employment plans that closed during the reporting period, where the employment consultant is the primary caseworker.
