How to Create a New Referral Using the Referral Wizard

The Referral Wizard guides you through the process of creating a new referral and assigning a client to a specific team.

Follow the steps below to complete a new referral in Recordbase.

Accessing the Referral Wizard

You can open the Referral Wizard by selecting New Referral from either the Dashboard or Client pages.

Step 1: Checking if the Client Exists

When creating a new referral, you can check if the client already exists in Recordbase. Recordbase may already have their details if they were previously referred to the organisation or have an existing referral.

You can search for a person by:

  • Reference Number: Use a National Health Index (NHI) number or Social Welfare Number (SWN).
  • Name: Use a person's First and Last name. 

Step 2: Searching for a Client

  • Searching by Reference Number: If the search returns no matches, try searching by name to ensure the client is not listed without a reference number.
  • Searching by Name: This will return a list of potential matches already existing in Recordbase.

Step 3: Selecting or Adding a Client

  • Select an Existing Client: If the client is in the search results, choose the correct profile.
  • Add a New Client: If no matching records are found, you can select Add as a New Client and fill out the required details on the next screen.

Step 4: Assigning a Team

Once you've selected or added the client, you must assign them to a team for the referral.

Note: Some teams require an NHI number before a referral can be saved. Ensure you enter the NHI number if needed.

Step 5: Submitting Multiple Referrals (if needed)

Each client needs a separate referral for each team they are assigned to. If the client requires referrals to multiple teams, you have two options:

  • Run the Referral Wizard again for each new referral.
  • Use the New Inbound Referral option on the client’s referral page to add additional referrals.
