In September 2020, a range of features were introduced to help organisations with the challenges of Covid-19:
- Vaccination statuses � use of person interactions (aka Health interactions)
- A PowerBI dashboard to combine vaccination status and risk factor data from Recordbase to help with highlighting vulnerable clients
- Contact tracing � use of other participants in activities
- Protocols
Since then, we�ve heard from you that recording additional Covid-19 related information would be a big help for front-line staff. In this follow-up, we've compiled some ideas and suggestions for how Recordbase features might be able to help you to:
- Keep track of Covid-19 tests and results
- Keep track of clients who are a Covid-19 contact or are self-isolating
- Highlight critical information on the alert banner
- Document standard processes with protocols
All these features are free to enable and use, but they may not be turned on yet in your Recordbase environment. If you see something that looks helpful, just get in contact with our helpful support team at support@wildbamboo.co.nz and they can enable any required features or permissions for you.

Keep track of Covid-19 tests and results
Wild Bamboo recommend using Person interactions (aka Health Interactions) to capture details of Covid-19 tests.� This feature has already been used to store Covid-19 vaccination information, so it should feel like a logical place for staff to record and find Covid-19 testing status.

A recent Recordbase release included a specific person interaction type permission, which allows you to configure the list options to suit your organisation�s preferences.�

Keep track of clients who are a Covid-19 contact or are self-isolating
Wild Bamboo also recommend using Person interactions (aka Health Interactions)� to capture details of Covid-19 contacts that are either self-isolating or self-monitoring.�

Keeping your staff safe
Wild Bamboo suggest the use of the alert banner and protocols, when a client has been recorded under interactions with a Covid-19 test or Covid-19 contact option that would put staff at risk of Covid-19.
Highlight critical information on the alert banner
The alert banner appears at the top of the client dashboard so on opening a client file, at a glance it can promote awareness of critical information that the staff supporting a client need to be aware of � one example would be a client with Covid-19, where there are protocols to follow to keep the staff member safe.

The blue writing is a link that takes you directly to the Alert or the Risk.
To display the information on the Alert panel you can either use alerts or flagged risks.� The alert panel will only display when there are any alerts or flagged risks or flagged attachments. The choice between alerts and flagged risks depends entirely on organisational preference, so we have included further details below.
Alerts
Alerts are entered as free text, which allows the user to be able to enter an alert that is specific to the client.� However, where standard alert text is required, it leaves it open to variation.
The start and end dates are optional, but allow you to schedule when the alert will appear on the client dashboard (and for how long), a feature that may be convenient given fixed duration isolation periods � you can simply schedule the alert to turn off when a client�s 7 or 10 days are up.�
Alerts are enabled through role permissions.
Flagged Risks
For a risk to appear on the alert panel it needs to be flagged, which relies on the user selecting yes for �Show alert flag�.
The risk type is a dropdown list, which allows you to standardise options � this is beneficial if you plan any downstream reporting. To add options to the list go to Setting>Dropdown lists>Risk type.� As the Brief description is free text, this will allow the user to add extra information.
Risks do not have start and end dates, but they do have the option to select a review date which will generate a review due task on the caseworker�s dashboard.� You can also mark a risk historic.
Risks are enabled through role permissions.

Document standard processes with protocols
Protocols allow you to document standard processes and procedures for staff to follow for certain care situations.
Protocol templates can be set up with the standard processes and procedures for Covid-19 positive clients or clients that are Covid-19 contacts in self-isolation. When adding the templated protocol to the client's file, there is the flexibility to be able to make variations to the protocol for each individual client�s needs.
For each protocol you can specify:
- Title
- Description
- Risk/purpose
- Steps/Requirements
- Comments
- Review date
Protocols also have a blank form, that allows you to add processes and procedures that are specific to an individual client.
Access to Protocols and to create Protocol templates is enabled through role permissions.
