How to Unlink a User Email Address for Reuse
An email address can only be linked to one user account at a time. To reuse an email address on a new user account, you must first unlink it from the existing user account.
Before You Begin
Before proceeding, refer to When to Unlink a User Email Address for Reuse to confirm that unlinking is the appropriate action.
When an email address is unlinked:
- The user account is disabled.
- The account cannot be reactivated through the Recordbase user interface.
- If the account needs to be restored later, assistance from Wild Bamboo Support will be required.
Only proceed if you have confirmed that the email address is eligible for reuse.
Training Environments
If your organisation has a Recordbase Training environment, remember to unlink the email address in both the Live and Training environments.
Steps
- Open Recordbase
- Navigate to Users and Roles.
- Select Users.
- Search for and open the user account currently linked to the email address.
- Select Unlink Email.
The email address can now be assigned to another user account.
Can't See the "Unlink Email" Button?
If the Unlink Email button is not available, email Wild Bamboo Support and request that the function be enabled.
Leaving the Unlink Email function enabled can increase the risk of accidentally unlinking email addresses, which will require a data fix to correct. If you do not use this feature regularly, consider asking Support to disable it again once you have finished.
Not Sure Whether to Unlink the Email Address?
If the existing user account is still in use, or you are unsure whether the email address should be unlinked, refer to When to Unlink a User Email Address for Reuse before proceeding.
