Security using personal email address

Wild Bamboo strongly recommends that all users access Recordbase using organisation managed email accounts. We do not recommend using personal email accounts, such as Gmail or Hotmail/Outlook.com, particularly for privileged accounts.

Using a personal email account increases the risk of:

    • Unauthorised access through phishing, credential theft, or account compromise.
    • Delayed or ineffective removal of access when staff leave or change roles.
    • Failure to enforce organisational security controls, including multi factor authentication (MFA) and password policies.
    • Non compliance with your organisation's security, audit, or regulatory requirements.

These risks are significantly greater where privileged access is granted.

If your organisation chooses to use personal email accounts to access Recordbase, you acknowledge and accept the associated security risks.

Wild Bamboo cannot manage or secure personal email accounts and cannot manage the risks from their use. The responsibility for protecting these accounts and determining whether they are appropriate for your environment rests with your organisation.

If your organisation cannot avoid using a personal email account, we recommend enabling MFA, using a strong, unique password, limiting access to the minimum required, and avoiding the use of privileged accounts wherever possible to reduce the associated risks.
