What's new in Recordbase: November 2025

In this release, we have added team graphs in the Insights section, made minor improvements to creating direct relationships and enhanced the display of attached images.

Team Graphs

In this release we have extended the insights provided by Recordbase to include organisational metrics. This builds on the already useful My Graphs functionality and gives visibility of aggregated team level metrics.

While this setting is not enabled by default, it can be enabled easily by assigning the new Team graphs permission.

Visualisations

Team Graphs lets you choose from three sets of visualisations – Referrals, Activities and People.

 

You have the option of choosing to view useful metrics for any team that you have access. Additionally, we have included an All teams option which will show you the aggregated results for the whole organisation.

Please note that while the All teams option will be available regardless of team access, no person identifiable information is presented.

As well as allowing you to choose the team you would like to view, you can also specify the timeframe. You can choose between four preset options.

Activity metrics

The Activities visualisations allow you to see the number of activities created and the total duration delivered based on the timeframe and team selected. The measures are provided for both individual and group activities. A handy visualisation is displayed to give you a quick look at the amount of contact (vs non-contact) and the amount of whānau inclusion.

In addition to the top level metrics, there are also visualisations presenting activity data by type and classification.

Please note that the graphs will only display the top 10 measures (based on usage). All other measures will be combined into a single ‘Other’ measure.

People metrics

The People visualisations show you the total (unique) people supported, along with metrics for their risks and goals based on the timeframe and team selected. It is important to know that all the metrics displayed in this visualisation are limited to include only people with referrals that have been accepted.

In addition to the top-level metrics, visualisations are displayed to give you a quick look at the range of ages, genders and ethnic groups of people supported.

Referral metric

The People visualisations show you the total number of referrals that are open, along with additional referral metrics based on the timeframe and team selected.

In addition to the top level metrics, visualisations are displayed to give you a quick look at the breakdown of referrals by source and exit reason.

Please note that the graphs will only display the top 5 measures (based on usage). All other measures will be combined into a single ‘Other’ measure.

We know that some of the terms often used with reporting metrics can be overloaded with meaning. For this reason, Team Graphs provides an easy link to the definitions behind each measure and visualisation.

Viewing images

In the last release, we changed Recordbase to allow you to view specific attachments directly in the application. One unanticipated outcome of this was the impact of large images - like those captured on a high-resolution camera – displaying at full size and requiring a lot of scrolling.

We have heard your feedback, and in this release, we have improved the way large images are displayed.

Images scaled to fit the window size

Images now have a maximum display size set to ensure that no matter how large the image is, it will always display without the need for scroll bars. If an image is larger than the current window, it will be scaled to fit.

Direct relationships

We have added improvements to Direct Relationships to further reduce the requirements. In this release, the start date no longer needs to be a required field.

This functionality is not enabled by default. If you would like to make the start date optional for direct relationships, please contact Wild Bamboo.

Making start date optional

To make it even easier to record details for whānau, we have now made it possible to make the start date optional. This means you can ignore the timeframe of the relationship and speed up data entry. 

List screen updates

In addition to allowing for the start date to be optional, we have also improved the behaviour for when you do want to track a relationship. In the 25.4 release of Recordbase, we have added the Start Date and End Date to the list screen so you can easily identify relationships that are current. 

The new columns are sortable, making it easy to identify relationships that have ended.

Reporting database changes

For those of you who have a reporting database, it is important to note that there is a change to the dl.FactPersonLinkRelationship table. In order to accommodate an optional start date for relationships, the StartDate column now allows null values.

Before enabling optional start dates, please review any reports or dashboards you have built that reference this table.

Appendix I – Minor changes  

As part of our continuous improvements, we have made the following notable bug fixes and minor enhancements:  

  • PCOMS table now includes Episode of care ID for reporting databases
  • The referral status report now includes the Referral ID
  • ADHB Monthly Support Hours report – Update logic for GP Only

PRIMHD reporting will now exclude all activity classifications with codes that do not start with ‘T’. More flexibility for multiple reporting requirements – IPMHA vs PRIMHD
